Data Classification Policy

1.1 The Spanish Point Technologies Limited Data Classification Policy applies to all data handled, managed, stored, or transmitted by Spanish Point Technologies Limited and Spanish Point Technologies Limited staff. Managers and/or information owners are responsible for assigning the appropriate classification as and when required.

2. Data Classification Definitions

2.1 Public: This is data or information that can be shared with any person, organization, or system regardless of their relationship with Spanish Point Technologies Limited. This classification is not limited to data or information that is meant for public consumption but includes any data or information that requires no special handling, or any kind of safeguarding from disclosure. The distribution of such data does not expose Spanish Point Technologies Limited, its customers, or its partners to any harm.

2.2 Company Confidential: This is data and information that should not be made generally available. Unauthorized access or disclosure could cause significant financial or material loss, risk of harm to Spanish Point Technologies Limited if exposed to unauthorized parties, break contractual obligations, and/or adversely impact Spanish Point Technologies Limited, its partners, employees, and eventually its customers. Such information is to be protected from unauthorized access or changes. Company confidential data should only be accessible to pre-authorized staff members. Note that access to such data can also be limited to specific staff members or groups of staff members (like executives, human resources, legal teams, etc).

2.3 Customer Confidential: Customer confidential data is the data that, if accessed by unauthorized parties, may adversely affect Spanish Point Technologies Limited’s customers. This includes data that Spanish Point Technologies Limited is required to keep confidential, either by law or under a customer agreement. We have to protect such information from not just unauthorized access but also unauthorized modification. Customer-confidential data should be safeguarded both when it is stored as well as being processed/used/transmitted. Unauthorized access to such data can potentially violate contractual confidentiality agreements with customers, cause a security incident, or affect Spanish Point Technologies Limited’s customer and industry confidence.

Data Retention Policy

1. Scope

1.1 This policy is applicable to the data that is in possession of Spanish Point Technologies Limited and received from our customers or users. Data that is collected in relation to Spanish Point Technologies Limited products or services that are in testing, alpha/beta state, or an early access program are also a part of the scope.

2. Guidelines

2.1 All data is retained within our systems only when there is a continued and valid reason to store or process the data.

2.2 Customers and users have the right to request for deletion of their information by making a request. This request must be made by the customer or user.

2.3 In the event that a data deletion request is received, please assess the authenticity of the request and decide the legitimacy of the request made. For example, after a customer has canceled their contract with Spanish Point Technologies Limited and requested for deletion of their data, we should oblige such a request. However, a data deletion request from a customer who has an active contract with Spanish Point Technologies Limited is likely not valid. Deletion of their data may lead to disruption of services.

2.4 For deletion pertaining to personal data, do consider anonymization of the data before deleting the data as long as it is not in conflict with any local laws or customer contracts.

2.5 If you have any questions regarding a data deletion request, or if you have any other questions regarding this policy, please contact the Information security officer before taking an action.

2.6 Versions of company policy documentation are maintained and older versions of company policy are maintained for at least 6 years.

1. Scope

1.1 This policy affects all staff (whether employees or contractors), board members, contractors, and volunteers, who may have access to confidential information.

2. Policy Brief & Purpose

2.1 Spanish Point Technologies Limited is committed to safeguarding the confidentiality of the data in its possession. Our customers and other stakeholders depend on us to protect the confidentiality of the data collected by us or shared with us.

2.2 We have designed this policy to explain how we expect our staff to treat confidential information. Employees will unavoidably receive and handle confidential information about customers, partners, and our company. We want to make sure that this information is well-protected.

2.3 We must protect this information for two reasons. It may:

4. Confidentiality Measures

4.1 We will take measures to ensure that confidential information is well protected. We will:

a) Store and lock paper documents.

b) Encrypt electronic information and safeguard databases.

c) Ask employees to sign non-compete and/or non-disclosure agreements (NDAs).

d) Ask for authorization by senior management when it is necessary to allow employees to access certain confidential information.
